1. Purpose and Scope
G & Y Solutions Limited supplies mining chemicals, industrial products, IT and security systems, and procurement and contracting services in Zambia and the Democratic Republic of Congo. This policy sets out our commitment to protect people, the environment and our clients' operations, and to deliver products and services that meet agreed specifications.
It applies to all G & Y directors and employees, and to the subcontractors, transporters and suppliers who work on our behalf, at our premises, on the road and at client sites.
2. Our Commitments
Safety
- Prevent injuries by identifying hazards and controlling risks before work starts.
- Provide suitable personal protective equipment (PPE) and require it to be worn.
- Give every person the authority to stop work they believe is unsafe.
Health
- Protect people from exposure to hazardous substances through safe handling, PPE and information.
- Make Safety Data Sheets (SDS) available for every hazardous product we supply.
Environment
- Prevent spills and releases during storage, loading, transport and offloading.
- Respond promptly to any spill and report it as required by law.
- Minimise waste and dispose of it responsibly.
Quality
- Supply products that meet the specification agreed with the client.
- Provide a Certificate of Analysis (CoA) with every chemical delivery, and weighbridge records for bulk loads.
- Keep accurate records and documentation for every order, from quotation to delivery.
- Act on client feedback and complaints to improve our service.
3. Legal Compliance
We comply with all applicable laws of the Republic of Zambia and the countries we deliver to, including the Occupational Health and Safety Act No. 36 of 2010 and the Environmental Management Act No. 12 of 2011, together with the requirements for licensing, transport and handling of hazardous substances. Where a client's site rules are stricter than the law, we follow the client's rules.
4. Hazardous Chemicals: Handling and Transport
- Use only licensed transporters with suitable, well-maintained vehicles and trained drivers.
- Ensure correct hazard placarding, transport documentation, SDS and emergency information travel with every load.
- Confirm the receiving tank or storage area has capacity and suitable containment before offloading.
- Require full PPE and an attended transfer for every offloading.
5. Subcontractors, Transporters and Suppliers
We select partners who can meet this policy. We communicate our SHEQ requirements to them, check their licences, permits and insurance before work begins, and stop working with partners who repeatedly fail to meet them.
6. Working at Client Sites
Our people and subcontractors complete the client's site induction, follow all site safety rules and permit-to-work systems, and wear the PPE the site requires.
7. Incidents and Emergencies
All incidents, near misses, spills and complaints are reported immediately to the Director and to the client where relevant. We investigate the cause, take corrective action, and share the lessons learned.
8. Training and Awareness
Everyone working for G & Y receives the information and training needed to do their work safely and to the required quality, including hazardous chemical awareness where relevant.
9. Responsibility and Review
The Founder & Director is accountable for this policy and for providing the resources to implement it. Every person working for or with G & Y is responsible for following it. The policy is reviewed at least once a year, and after any significant incident or change to our operations.
